Backlog tree actions

Backlog item actions

Add stories to the backlog

Create user stories, quality stories, or defects under specific backlog features.

Select the relevant feature in the backlog tree before adding the story. Alternatively, change the story's Feature attribute to move it to another feature.

Automatically fill in item details from a template

In the upper right corner of the Add <Entity> dialog box, select a template from the list.

The item's details are automatically filled in depending on the template's saved configuration.

 
Break stories into tasks

Inside a story, create tasks to describe steps necessary to implement the story.

Enter an estimated effort for the task (in hours), and track its progress.

Open an epic's list of features

In the Epics tab, add the Features column to the grid.

This column displays the number of features in each epic. If you filter the grid, this number is not affected.

Clicking the number opens the epic and selects the Features tab. To return to the Epics view, click Return from document view .

Open a feature's list of user stories or defects

In the Features tab, add the User Stories column or the Defects column to the grid.

These columns display the number of user stories or defects in each feature. If you filter the grid, this number is not affected.

Clicking the number opens the feature and selects the Stories tab. To return to the Features view, click Return from document view .

Plan backlog items to releases, teams, and sprints

Drag items into planning buckets to assign them to releases, teams, and sprints.

Manually enter the release, team, and sprint values in the backlog item's details.

Plan and track your team's work

In the Agile Manager Team Backlog, select your release, team, and sprint to view the relevant backlog.

  • Use the widgets at the top of the page to track your progress.

  • Use the buckets in the Team pane for planning and tracking.

  • Use the Task Board (Tasks tab, Board view) to update and follow your task phases.

Preview item information

In the Smart List view, expand an item to view more information. For user stories and defects, view related tasks, for manual tests, view steps, for Gherkin tests, view scripts, and for tests suites, view the tests that are executed within the suites.

In Grid List view, select an item to view details in the right pane. You can add tags, comments, and change the phase of the item.

Rank your backlog

Leader permissions are required.

In the grid view, click the Rank column to sort the backlog by rank.

Then do one of the following:

  • Drag items up or down the grid, one at a time or multiple at a time, to set them in the desired order.
  • In the Rank column, type in the new numerical rank

Application module actions

Pipeline actions

Basic actions

Add attachments to items

Attach any type of file to an item to provide more information about the item. For details, see Attach files to items.

Team members can only delete items that they have created.

You can also drag and drop a file from your file system, such as Windows Explorer, into the Attachments tab of an item. As you do, the Drag & Drop symbol appears so you know you are on track. 

Add or edit comments for an item

Add comments to an item. You can format the text using the toolbar. The most recent comment is displayed at the top of the list. If an item has comments, the comments icon is dark gray. An indicator displays the number of unread comments.

Team members can only delete items that they have created.

Select columns to view in a grid In a grid, select the columns to display.
Auto-fit column width Double-click a column divider in a grid to adjust the column width to the header or content width.  
Group items in a grid or list

Click Group By to group by columns in a grid or list. For example, you can group by test type.

To add subgroups, add additional group fields to the grouping hierarchy. To remove groups, click the X next to the group that you want to delete, or click Clear All to clear all groups at once.

Note: You cannot group by user-defined fields.

To group stories by feature or features by epic, select Parent.

Some columns can have multiple values. For example, a defect can be assigned to more than one application module. When grouping on these types of columns, the defect is listed in all relevant application module groups.

Label items by adding tags

Click Add tag when editing or adding and type a string to use as a tag, or select a tag created earlier.

Team members can only delete items that they have created.

Log in

To log in to ALM Octane, type your user name and password. If you have not been given credentials, ask an administrator.

 
Log out To log out of ALM Octane, click User Details > Logout.
Manage favorite views

Save your current view so you can reload it later. You can create private and shared views. For details, see Favorite actions.

Tip: Does the Favorites icon look like this: ? This means that a favorite was loaded, and then changes were made to the view. You might want to save the current view as a new favorite.

Search for an item (global search)

Use the search box at the top of the page to find items that match a specific string.

Click the button in the search box to tell ALM Octane what type of item to search for: defects, tests, backlog items, tasks, or all.

Type an item's ID, or a string to find in the item's name or description.

When your search results appear in the drop-down, you can click a category title to see all matching results on a page. Click the ID of a specific item to see its details.

If search is not working, the shared space may be briefly out of sync. Wait 30 seconds and try again.

Search in context

Use the search box above the grid to search within your current context. The grid is filtered to show only items that match your search string.

Select all items

In a list or grid, select multiple items to perform actions on all selected items.

For example, assign multiple items to application modules, send multiple items by E-mail, and so on.

Determine what you see

You can decide what information to view in the Smart List view and the Grid view by:

  • Filtering: 

    • Select a node in the tree.

    • Select attributes.

    • Adding other criteria.

  • Choosing columns

  • Choosing whether to show all stories or only unassigned stories, when the root backlog is selected in the tree.

  • Choosing smart view or grid view.

General
Send by email Send an email about an item to recipients, CCs, and yourself.
Share access to items with other users In a Details page, copy a link to an item, and then send the link by email.
Sort ascending / descending

In a grid, click a column header to sort the items by the field values of the selected column.

Note: Sorting is currently available only for columns with simple numeric or string values or for fields using user names (Owner, Detected by, etc.)

The sort icon displayed in the header indicates that the data is sorted by this column. Click the icon again to reverse the order.

The order you select in the grid view affects the order of the items in the Smart List view as well.

Sub-sorting

To sub-sort by additional columns, <Shift>+<Click> the additional columns after selecting the primary sort column.

If you sort by multiple columns:

  • The columns are numbered, to help you remember the sorting order.

  • To reverse the sort order - hold the <Shift> key and click the sort icon in a column header.

Switch between grid and smart views You can view items in a basic grid, or in a "smart" view that shows the most relevant fields. Click the button for the view you want.
Update user profile

Update your user profile to give coworkers your contact information and an idea of how you look.

On-premise: You can change your own password in the user profile. For details, see Change your own password.

Use breadcrumbs to navigate

You can navigate throughout ALM Octane using breadcrumbs.

In the Quality module, the breadcrumbs show you where the item is located in the application module hierarchy.

In the Backlog module, the breadcrumbs show you where the item is located in the backlog hierarchy.

 
Use arrows to navigate

You can navigate from one item to another in a module or a list by clicking the arrows:

 
View details of an item

Click an item's ID to view its details in a form layout on the Details page. Items include epics, features, stories (user stories and defects), and tests.

General
Export

You can export the items displayed to Microsoft Excel.

  • Select the rows in the grid or smart list, and click to export the items.

  • In preview dialog boxes, click to export to Excel.

  • The sort order of the items is preserved.
  • Grouping by multiple value fields will export the items according to all the specified values and will display them in Excel on separate lines.

  • Multiple category fields will be displayed in separate columns in Excel.

  • When you click Export , the Excel file is downloaded with a default filename in the following format:

    ALM_Octane_area_Filtered/Selected Items type_Mon day Year hour

    Where:

    • area: is the name of the module, for example, Quality, Backlog, Defects.

    • Filter: is displayed in the file name only when the user defines a filter

    • Selected: is displayed in the file name only when the user selects an item by selecting its check box.

    • Items type: will be replaced with the specified term, for example, Stories, Defects, Tests.

    • _Mon day Year hour: will be appended automatically to the filename.

Favorite actions

ALM Octane remembers the last favorite you used, and uses it the next time you enter a module.

Action Description
Save the current display as a favorite

Saving favorites lets you choose the current display to use again at a later time. This includes groups, column headings, sort order, and so on.

  1. In the top banner, click Favorites.

  2. Give the current display a favorite name.

  3. To share the favorite with others, check the Share check box. Select the users to share with, or Share with all.

  4. Click Save.

Manage favorites

You can view your private favorites, your team's favorites, and public favorites for either the current module (Backlog, Quality, Team Backlog, and so on) or all modules. You can view the list of favorites in ascending or descending order.

You can search for a specific favorite, select a favorite to load, rename favorites, and delete favorites.

You can also change who you are sharing the favorite with.

  1. In the top banner, click Favorites and then Load/Manage.

    Tip: Does the Favorites icon look like this: ? This means that a favorite was loaded, and then changes were made to the view. You might want to save the current view as a new favorite.

  2. Select the favorites to list: 

    • Show all, or certain, favorites.

    • Show a specific favorite by searching.

    • Select My Favorites to see only your favorites. Alternatively, select My Team Favorites or Public Favorites.

    Note: My Favorites includes favorites shared with you.

  3. Select a favorite.

  4. Click Load next to the selected favorite to use that display.

  5. Click OK.

Share links to favorite

You can distribute links to shared favorites to other users.

  1. After the favorite is shared, click Copy link from the Favorites dropdown list to share the current shared favorite, or click Load/Manage and click Copy link next to the favorite.

    The shared favorite link is copied to the clipboard.

  2. Paste the link into an email, text message, or document to share it with other users.

Clear the current favorite

In the top banner, click and then Clear.

The display resets to the default.
