Filter items

Filters let you focus on what you need. You display only the information that meets your criteria.

ALM Octane provides various options for limiting the items you see in a list. This filtering can be done in a number of places:

  • The Filter panel in Grid View and Smart List View in the Backlog, Quality, and Team Backlog modules

  • The Tags tab of the right navigation panel

  • Context filters found in the upper left corner where you set the current release

  • Selection of items in the item tree in the Backlog and Quality modules

These filters change what you view in the Grid View or Smart List View, as well as widgets displayed in the Overview tab of each module.

Tip: All existing filtering options affect the list, even when the filtering options are collapsed or hidden from view.

Filter using the grid filter

In the Grid View or Smart View grids, you can add a filter in each module:

  1. Above the Grid View or Smart View grids, click Show filter pane and then click + Add filter.

  2. Select the attribute to use for the filter.

    Tip: You can also filter by user-defined fields.

    The filter is evaluated using And logic where all conditions selected in the list must be true for an item to meet your criteria. To understand the logic of how ALM Octane determines what to display when tags are used, see Attributes, tags, and environments.

  3. Depending on the type of field you selected:

    Strings Select an operator (such as Equal to, Is empty) and select a value, or select a value from a list
    Dates Select a date or range of dates from the calendar.
    Lists

    Select a value or multiple values.

    If you select multiple values, the operator you select (Equal to, Not equal to, etc.) determines what is displayed.

    Numbers Select an operator, such as Less than, Equal to) and enter a number or a range of numbers
  4. Click OK.

    The grid is updated with the filtered information. In addition, the attributes and tags indicators in the right panel (in the Tags tab) are also updated.

    In some cases, the attributes, tags, and environments indicators are not updated, if a filter condition (such as Less than, Is Empty, etc.) is applied, as the filters in the Tags tab do not support these conditions.

  5. Repeat to add additional filters as needed.

Filter using attributes, tags, and environments

On the right panel, under the Tags tab, ALM Octane displays the attributes, tags, and environments for the items in the selected module.

You can use the these indicators in a number ways:

  • Click a tag indicator to select it. The selected tag indicators display in color.

  • Click again to clear the selection.

  • Right-click to set a Not condition. The tag indicator is displayed with a strike-through. Right-click again to clear the selection.

    Note: If you right click to set a Not condition, all other previously Yes conditions are cleared.

  • Click All to show all tags and attributes, and to enable searching. Click Less to show only those that are in use.

  • Click All to search for an attribute in the pane. Do this if your pane displays many values, or relevant ones are not currently displayed.

      Tip:
    • If you enter the name of an environment group, the group is displayed with all of its indicators, none selected.

    • If you enter the name of an environment, the group name is displayed in addition to the one indicator, selected.

When you select one or more of these items, the Grid View or List View refreshes automatically. If you have a release or tree item selected, only the relevant items in that release or tree item are displayed. In addition, the grid filter above the Grid View or Smart List View grids is updated to reflect your selections.

Understand the logic behind filtering

The logic behind filtering is different depending on how and where you filter.

Filters are also affected by the release selected (if applicable, for example in the Backlog module) and the items selected in the tree (in the Backlog and Quality modules).

Note on epics and features

Epics in the Backlog module are not assigned to releases. Only the epics which contain items relevant to your filters are displayed. If the epic does not contain items in your filter, it disappears from the list of epics.

Features are assigned to specific releases. If you select a release and your feature is assigned to that release, it is displayed. If the feature is not assigned to a release, it is not displayed, even if the stories and tests inside the feature are displayed according to the filter conditions.

The grid filter above the Grid View or Smart List View is evaluated using And logic where all conditions selected in the list must be true for an item to meet your criteria.

Environments and attributes within a group are evaluated using the OR relationship. Tags, however, are evaluated using the AND relationship

Example:  

Select... Displayed... Not displayed...

Both the Empty and First Release attributes... Items whose Release value is either blank or First Release Items whose Release value is Second Release

Environments, tags, and attributes between groups are evaluated using the And relationship.

Example:  

Select... Displayed... Not displayed...

In the RELEASES group, the First Release attribute, and in the TEST TYPES group, the Acceptance attribute... Acceptance tests for the first release Tests that are not acceptance tests or are not for the first release

If you use the NOT condition (indicated with a strikethrough in the tag, attribute, or environment indicator), the combinations are evaluated with an AND relationship.
