Work on your stories

After the release plan has been built and the team backlog is structured, you can manage your own individual backlog. This includes viewing the stories and tasks assigned to you in the current development period.

You can do this from the Team Backlog module, or if not available, the Backlog module.

The Team Backlog module is part of the Agile Manager offering within ALM Octane.

Make sure your workspace admin set up the release timeline and teams.

  • Your team must be assigned to a release and the necessary sprints.

  • You must be assigned as a member of the team.

  • You must have stories and tasks assigned to you in the current release and sprint.

Display assigned items

In the Stories tab (both in the Backlog and the Team Backlog modules), create a filter to display items per sprint and owner. For details on filtering, see Filter items.

Tip: In the Team Backlog module, in the Team Buckets, if you click on the title of a team member, you automatically set the filter to display the items assigned to that team member.

In the story, advance the story phases as you complete work on your defects and stories.

Block an item

Sometimes, when working on a story, you cannot proceed in your work due to a technical challenge, missing resources, and the link. In these cases, you want to indicate that you are blocked from working in order not to affect the overall progress of a release.

  1. Open the item and navigate to the Details tab.

  2. In the Details tab, set the following fields:

    • Blocked: Select Yes from the drop-down list

    • Block reason: The reason why you cannot keep working.

  3. Save your changes.

After you return to the Grid view, Smart View, Task board, or Story board, an icon is displayed in the grid:

Tip: If the icon is not displayed, ensure that you have added the Blocked column to the list of visible items in the grid.

Use the task board to manage work

On a daily basis, you can use the Task list or Task board to manage the individual tasks required to complete a story.

The Task board is displayed by default:

  • In the Backlog: in the Tasks tab when you open an individual story

  • In the Team Backlog: in the Tasks tab that is displayed when opening the Team Backlog module

You can display the Task list in the Smart List view, Grid View, or the Board View, which lists each of the tasks in a story as individual cards:

Note: If the board is filtered, the Task board displays only stories that contain tasks.

Use the Task Board to structure and help your daily work flow:

  • All the tasks in a story are grouped together in a single board below the story details.

    Note: You can view up to 100 lanes of tasks in a given period. If ALM Octane is not displaying the necessary lanes with your tasks, add a filter to display relevant lanes.

    Expand or collapse all the necessary stories and their task lanes to view the tasks.

  • Tasks are organized by phase. These phases are created by your workspace administrator. The column for each phase can be scrolled independently.

    In each column, click the arrow to minimize the column. The cards for that column are no longer displayed. The column still remains part of the board, but minimized.

  • Tasks can also be organized by rank. Drag the tasks into order to rank them.

  • Click the + button to add a task. In the task card, give the task a name. Then, in the Details tab of the task, define the task attributes, such as the description and expected effort (in hours)

  • As you begin working on and complete tasks, drag the cards from phase to another or from one story to another.

    Note: If you are not working in the Task board view, you can also update task details. Click on the task number link and update details in the Details tab of the task.

  • To add attachments to a specific task, click the task number link in the task card to open the task details. Then in the task Attachments tab , click Attach and locate the attachment file.

    Attachments are displayed directly on the task card:

    Click on the attachment or attachment icon to open or view a preview of the attachment.

    If you have more than one, click the left and right arrows in the task card to view each attachment separately.

    Tip: If you do not want to view these attachments on the cards (but only in the task's Details tab), in the Task board toolbar, toggle the Show attachments button

  • On the task, right-click and select Delete Task to remove unneeded tasks.

  • Click the Full Screen button to view the task board at full size.

  • Use the zoom slider on the Task Board toolbar to change the view of the task board.

Track work completion progress

Use any of the following to track work completion progress:

The story details displayed above the task cards show the completion status of the tasks in the selected story:

Each team member bucket shows the overall completion progress for all items (stories and tasks) assigned to you in a sprint:

Tip: If you hover over the graph, you can see a numerical breakdown of progress by hours.

This graph does not show the individual per-story breakdown.
